Align your business with OrgPlus – the “positive” side effects

I find that most of my customers today want a “prescription” that eliminates more than one “pain”.

With reduced budgets, solutions that apply to more than one project or company challenge will increase overall solution value, but may require buy-in from other departments.

For example, a recent customer needed to adapt its workforce to the current economic climate. At the same time, they wanted to align the business when the economy upturns. Through an initial “goal sharing” call, we identified that OrgPlus Enterprise (with OrgPlus Enterprise Blueprint) suited their requirements 110%.

Baseline Chart – What does your organization look like?

OrgPlus Enterprise allowed the customer to create a baseline chart of its current organizational structure. OrgPlus does this by connecting directly to the HCM system, therefore eliminating the time-consuming process of manually creating disparate charts that are mostly out of date by the time they are published. By linking the charts to the HCM system, the customer received their first “wow” side effect.

Because there is a visual representation of the “data” that is kept in the HCM system, they also received feedback of changes that applied to the baseline data. Thus ensuring the HCM system was up-to-date with even minor changes. After all, a picture speaks a thousand words.

In addition, it eliminated the lack in confidence some departments had with data used for essential decision-making processes – yet another “wow” side effect.

Create intelligent organizational charts through applied KPIs and metrics

Once the baseline charts were up and running, the customer started applying formulas and conditional formats to the data to calculate and measure KPIs and metrics. These included absenteeism, vacancies/recruitment, headcount (both FTE count and post count), contractors, key employees and much more.

Adapt your organization to the current economic climate and apply change

Let’s go back to the customer’s original requirements. Because they now know:

- What their organization looks like
- Who’s responsible for what
- Where the key positions are
- Who the key employees are
- And what the supporting structures are

They were able to make informed decisions that met with key compliances (such as Equalities), fast!

Identified and required workforce changes were made available in an offline “what if” environment with OrgPlus Enterprise Blueprint. OrgPlus Enterprise Blueprint provided the ability to edit/update information and “drag & drop” positions.

Throughout this entire process, the company was able to identify the impact of the changes, before actually applying them to the core HCM data. Upon approval, write-back to the core HCM system via workflow was supported by OrgPlus Enterprise.

Plan for the future

OrgPlus Enterprise Blueprint took a “snapshot” of the organizational structure with positional information only – no employee personal data. A collaboration team looked at the optimal future organization. Metrics were created against sales targets. Costs centers were set up and pay range targets were defined. New positions were created, obsolete project posts were transferred to other departments with matching skills requirements and clearly defined supporting structures.

Once agreement was reached at a team level, executive management reviewed and compared changes against the baseline chart. Results were shared at the board level via PowerPoint presentations, and detailed Delta Reports (both created by OrgPlus).

The Delta Reports clearly identified step-by-step actions required to move from the baseline to the optimal structure. It also highlighted what impact the changes would have to the business.

Using the Delta Reports, a clear plan of action was developed that included priority changes that were needed ASAP. A roll out plan was then developed for the remaining changes.
